Overview

The role focuses on managing end-to-end legal matter intake, triage, and assignment using the Corporate Legal group’s matter management system. The specialist ensures accurate creation, maintenance, and reporting of legal matters while upholding data integrity and compliance with internal governance standards.

Key responsibilities include analyzing incoming requests, determining appropriate legal support, and handling the review, drafting, and finalization of standard agreements such as NDAs, MTAs, distribution, seeding, and confidentiality agreements. The role also involves maintaining legal templates, playbooks, and knowledge bases to ensure consistency and efficiency.

The position requires close collaboration with global legal teams and business stakeholders, acting as a key interface to provide practical, risk-aware guidance. Additionally, the specialist supports legal operations through workflow management, stakeholder coordination, and adherence to service levels and escalation protocols.

A strong focus is placed on legal technology and process improvement, including supporting automation tools, e-signature platforms, and matter management system enhancements. The role also contributes to governance compliance, reporting, and administrative support for the Corporate Legal team.

Responsibilities

  • Manage the intake, triage and assignment of matters requesting Legal review using the Corporate Legal group's matter management system.
  • Analyse information in requests and determine appropriate document or advice required, including the review, preparation, and finalization of agreements.
  • Provide accurate and timely legal support across defined workstreams (e.g., NDAs, Distribution Agreement, Seeding Agreement, MTA’s, CDA’s, contract review, template management, matter intake, entity management, and governance documentation).
  • Seeking a HighQ Matter Docketing Specialist to accurately create, manage, and maintain legal matters, ensuring data integrity and compliance with internal governance standards.
  • The role involves stakeholder coordination, workflow management, and reporting to drive efficient legal operations and seamless matter intake processes.
  • Manage assigned matters in accordance with agreed service levels, playbooks, and escalation procedures.
  • Maintain and update legal templates, playbooks, and knowledge bases.
  • Collaborate closely with global legal teams to ensure smooth and consistent delivery.
  • Support legal technology and automation initiatives, including document automation, workflow tools, and e-signature platforms.
  • Ensure compliance with internal governance, data privacy, and confidentiality standards.
  • Manage the administration of the matter management system for all Corporate Legal matters, including matter management reporting.  Identify problems and propose solutions to address any issues with the system.
  • Serve as an interface to the Company's business units.  Effectively communicate process and corporate positions and provide practical advice while minimizing risk to the Company.
  • Draft, review, negotiate and finalize confidentiality agreements, material transfer agreements, beta agreements and seed agreements within proscriptive guidelines and playbook positions. 
  • Maintain the Corporate Legal group's standard forms and templates and implement changes as required with guidance from members of the team.
  • Proactively support the Corporate Legal group with administrative aspects of team management, including calendar and content management for team meetings.

Qualifications

  • Bachelor of Law (LL.B) or equivalent legal qualification
  • 3-5 years of experience as a paralegal and/or other proven matter and contract management experience including contract review, drafting and negotiation.
  • Excellent English communication skills, with prior experience working with in-house legal teams across EMEA, Europe, and APAC.
  • Prior experience in legal operations, shared services, or an in-house legal function
  • Proven ability to multi-task, identify and manage competing priorities, and independently analyze and solve problems
  • Experience in drafting and negotiating commercial contracts.
  • Familiarity with global contracting standards
  • Experience working with legal technology (e.g., CLM, workflow, document automation tools).
  • Experience delivering contracting work across global jurisdictions.
  • Accountable for accurate, high quality work product
  • Excellent oral and written communication skills
  • Self-motivated with ability to meet objectives and tight timelines with minimal direction
  • Proficient in Microsoft Office applications
  • Proficient with matter management systems and reporting dashboards desired
